"*It is clear to me. It's beautifully simple. I also have a good idea, everyone will like it.” This is how the manager usually finishes his own preparation for internal communication with employees. "* We all know how it is here, so I just tell it." Employees sit and look in disbelief. This is not enough. So how to prepare for communication? Do not forget to make the characteristics of the target group at least at the level of needs, interests and style. Then adapt the idea and the way it is communicated.

Perhaps the most underestimated area of leadership is the preparation of communication. There is no time for it. So most managers end up preparing for what they want to say. They write a note and go to a meeting with employees. They are usually prepared more carefully for dealing with a customer or for a very important negotiation. Negotiation errors usually have far greater consequences. “At home” (understand in the company) does not matter that much. When it somehow „talks“. But the purpose of internal communication is to engage and it is the manager's res­ponsibility to inspire workers for their tasks.

Part of the basic preparation of communication is to clarify at least the 3 most important characteristics of the target group. The target group are workers the manager wants to talk to, or it can be an individual. The characteristics of the target group are:

  • needs – it is mandatory / necessary activities that the worker must do to his work was good or successful completion
  • interests – what the person is specifically interested in and emphasizes.
  • style – how acting is acting. It is necessary to find a style that pleases him and opens his listening.

Once you are aware of these characteristics, you can begin to prepare a way for you to communicate your idea (what you want to say). If you are able to find information that is of interest to workers, they will be happy to listen to you. If you like style, the staff will feel comfortable. They may also feel that you are talking to them from the soul and start to nod and engage in discussion. On communication training everyone makes communication preparation and knows how dangerous it is to swap one piece of information. In some cases it will be utter disaster but communication can not be undone. The preparation takes up to 30 minutes. Gradually, you should follow her to such a championship that she only takes 5–10 seconds. You just look at the person you want to talk to and immediately realize what he needs and which style he owns.
